File management

Under Settings → Files (admins only) you’ll find every file uploaded via attachment fields – across every data source, table, and column, in one place.

A file only ever appears once there, even if it’s attached to several cells via Choose an existing file – the locations can then be expanded, and each one opened directly.

You can also upload a new file directly here, without switching to a record first – handy for, e.g., providing a logo or template in advance. A file uploaded this way is initially unlinked (no record to open) and waits to be attached to one or more cells via Choose an existing file.

Folders

To the left of the file list you’ll find a folder tree – purely virtual, like in a normal file explorer, with no change to how the files themselves are stored. The + next to “Folders” or next to an individual folder creates a new (sub-)folder; renaming and deleting work via the small icons that appear when hovering over a folder. A folder can only be deleted once it’s empty (no sub-folders, no files left in it).

You drag a file from the gallery or list view onto a folder to move it there – each file always sits in exactly one folder (or none). “Unassigned” at the very top of the tree shows every file with no folder; the list on the right always shows only the content of the currently selected folder (or of “Unassigned”), never every file at once.

Features:

  • Upload a new file – via drag and drop or a file picker, uploaded immediately (lands in the currently selected folder).
  • Gallery or list view (your choice is remembered).
  • Filter by data source → table → column, plus file type and filename search – in addition to the folder selection.
  • Open associated record – jumps directly into the form editor of the row the file belongs to (for several locations: the respective one; for a file that isn’t linked yet, there’s nothing to open).
  • Delete a file – removes it everywhere, including from every other cell it’s attached to.
